Special Events & Membership Coordinator

Job Responsibilities:

 

  • Plan, organize, and manage all aspects of in-house and off-site special events, including Fashion Show, Women of Vision and Signature Spring fundraiser, working closely with the Executive Director, Director of Development and all museum departments

 

  • Plan, implement and manage the museum’s membership strategy to secure and retain members, including annual events, promotions and community partnerships

 

  • Work closely with event committees to provide support and information

 

  • Prepare event sponsorship packages and lead the solicitation and securing of sponsorships

 

  • Negotiate with restaurants, beverage distributors and other vendors for events and follows through on contract execution

 

  • Manage and maintain accurate records of registration, event logistics and invitation mail lists. Accurately record event related information in Altru database

 

  • Work with marketing staff to coordinate collateral materials, invitations, eblasts and social media related to events and membership

 

  • Perform other related duties and responsibilities as required or as assigned to support the Development & Marketing Department

 

Skills/Knowledge Required:

 

  • Bachelor’s degree from an accredited college or university
  • Minimum three to five year’s work experience in non-profit preferred, including organizing small and large scale fundraising events
  • Strong oral and written communication skills
  • Strategic and creative thinker, proactive and highly organized, with the ability to multi-task, handle pressure and meet deadlines
  • Strong project and revenue management
  • Understanding of fundraising and sales principles
  • Highly competent computer skills including Word, Excel, Power Point and other related programs
  • Highly competent working independently and with a team

 

Additional Information:

 

  • Position requires evening and weekend work for successful execution of some events. Flexible scheduling permitted
