Development Assistant - Miami Foundation

POSITION DESCRIPTION

The Development Assistant is an integral member of the Miami Foundation’s Development team. In addition to overseeing the processes in place to manage the Foundation’s fundholder relationships, the Development Assistant also provides general administrative support to the Development department and manages a fund portfolio. He or she works to ensure delivery of impeccable donor services. 

Reports to the Vice President for Strategy and Engagement.

 

DUTIES & RESPONSIBILITIES

Regularly manage updates to constituent database and constant contact mailing lists to ensure all contacts are properly moved through development process and coded appropriately.

Manage Fund files (electronic and hard copy) and update constituent database with all relevant coding including updates when accounts are opened and closed. Send introductory letter to new Fundholders and assist with their initial online registration.

Research potential prospects and add information to constituent database.

Monitor local media outlets (Miami Herald, South Florida Business Journal, Daily Business Review, Miami New Times etc.) for news and information on Fundholders and prospects.

Manage gift acknowledgement letters on a weekly basis or as needed.  

Manage all incoming gifts including but not limited to incoming check log updates, database updates and matching gift forms. 

Manage portfolio of Donor Advised Funds; including regular follow up and day to day account assistance.

Manage sign up requests and assist with questions regarding online Fund accounts.

Track Board of Trustees requirements in donor database and update individual tracking sheets for quarterly board meetings.

Manage monthly Anniversary Card mailings.

Assist with special events planning, preparation and execution and processing of online RSVPs.

Coordinate meetings including but not limited to: Development Committee, Supporting Organizations and Professional Advisor Network meetings.

Plan, coordinate and implement CAP, Inc. Annual Grant Night including securing sponsorships, coordinating all event details and managing staff participation. 

Achieve proficiency in Blackbaud and Fusion Labs software for development functions, including but not limited to queries, global changes, mailing lists, etc.

Assist the Development department with the following duties: scheduling meetings, calendar and contacts maintenance, meeting preparation and follow-up, among additional responsibilities.

Write, proofread, edit and send correspondence, including but not limited to: Fund agreements, addendums, donor letters and gift proposals.

Process check requests for department expenses.

Meet and greet visitors for Development meetings.  

Provide backup coverage for Receptionist.

Other duties as assigned. 

POSITION REQUIREMENTS                                                        

Experience, Abilities & Skills 

BA preferred with minimum of 1-3 years of experience in an area related to office administrative support, development, project management or event coordination. 

Excellent skills in the areas of organization, attention to detail, time management, ability to manage multiple tasks, define and set priorities and problem solve. 

Excellent customer service abilities.  

Excellent reading, writing and grammar skill. Both written and verbal.

Excellent skills and experience with Microsoft Word, Excel and Outlook, working with databases and internet research; knowledge of Blackbaud’s software: Raiser’s Edge, Financial Edge and NetCommunity a plus. 

Ability to take initiative with projects to work both independently and as a team member.

Prior work experiences in a nonprofit a plus. 

Bi-lingual is a plus. 

Knowledge of telephone and electronic mail protocol. 

Flexibility in schedule required.
