Administrative Assistant/Database Specialist

Responsible for providing high level administrative support to the Vice President of Development and Marketing and the Development Department, including the production of the monthly Development Report. Processes thank you letters and maintains donor records.  Provide technical and data support to the department for enhanced resources. Reports monthly Food Nutrition Program outcomes.  Provides event support.
         Responsibility:



Perform a wide range of clerical and administrative tasks for the Vice President of Development and Marketing, including setting appointments, organizing meetings/tours, meeting minutes, sending proposals and maintaining the general calendar
Create and update donor records, process all donations and prepare acknowledgements; prepare monthly Development Report; update donor board and maintain donor archives. Provide donor demographic and trend analysis.
Assist Vice President of Development and Marketing, CFO and Grants Consultant with submitting and tracking foundation and grant reports on a timely basis including Food & Nutrition monthly reporting
Support the Development staff in planning and implementing fundraising events












































Assist with special projects from time to time when deemed necessary; perform other duties as required







 Knowledge/Skill Requirement:

a)       Knowledge:                        
Familiar with database management for the non-profit arena preferred.


b)       Kind and length of experience:
Minimum of three (3) years’ clerical/administrative experience especially in database management, customer service and the administrative coordination of various projects and programs.


c)       Skills required:
Excellent grammar and writing skills and strong interpersonal communication skills.  Highly proficient in the use of MS Office, including Word, Excel and PowerPoint and mail merging.  Research and development skills preferred.  Sage and Service Point skills preferred. Bilingual in English and Spanish and/or English and Creole preferred.


d)       Traits required:
Ability to multi-task, be a team-player, and solve problems. Ability to work with all levels of the organization.  Ability to prioritize and organize effectively. Must be detail oriented. 


e)       Education required:
High school diploma or GED; bachelor’s degree in social work, human services or related field preferred.
